LEGAL BASIS AND PURPOSE OF PROCESSING PERSONAL DATA

A person registered in the register has registered for the recruitment of the personnel of the Finnish Seamen’s Mission.

The basis for the processing of personal data is a legitimate interest on the basis of an agreement or other appropriate connection to handle the recruitment process and communication with persons who have registered as job seekers.

DATA CONTENT OF THE REGISTER

The register contains the following information provided by the applicant:

  • contact information of the data subject such as address, e-mail address, telephone number
  • basic information of the data subject such as name, occupation, date of birth
  • information about the applicant’s ecclesiastical or religious background group
  • other information voluntarily provided by the data subject
  • education and work experience information and information about the applicant’s language skills, hobbies and positions of responsibility, as well as other skills

SOURCES OF INFORMATION

The registrar registers the information about the customer that the user reports themselves.

DATA DISCLOSURES

In the processing of personal data, we use subcontractors who act as data processors on behalf of the registrar. With a subcontractor, the registrar has entered into an agreement in which the subcontractor is committed to processing personal data confidentially and as required by the General Data Protection Regulation.

TRANSFER OF DATA OUTSIDE THE EU OR THE EUROPEAN ECONOMIC AREA

Data will not be disclosed outside the EU or EEA.

DATA PROTECTION PRINCIPLES

Personal data is processed in a password-protected system, which can only be accessed by designated employees who are entitled to process the data. Personal data is only processed for the purpose it was collected and by persons authorized to process the data. Persons processing register data are bound by the obligation of confidentiality.

Databases and their backups are protected by firewalls, passwords and other technical means. Manual materials are stored in locked spaces.

Risks related to the processes and systems related to the processing of personal data are assessed regularly to ensure the implementation of appropriate data protection with the necessary technical and administrative measures at the Finnish Seamen’s Mission.

DATA RETENTION PERIOD

We will retain personal data for as long as is necessary for the purpose of the personal data. We regularly assess the need for data retention, considering applicable legislation. In addition, we take reasonable measures to ensure that personal data that is incompatible, outdated or incorrect with the purposes of processing are not stored in the register. We will correct or delete such information without delay.

RIGHTS OF THE DATA SUBJECT

The data subject has the right to inspect the personal data concerning him/herself stored in the personal register and to demand the correction or deletion of incorrect data, if there are legal grounds for doing so. The data subject also has the right to withdraw and change the consent.

In accordance with the General Data Protection Regulation, the data subject has the right to object to the processing of data or request the restriction of the processing of data and to lodge a complaint about the processing of personal data with a supervisory authority.

For special personal reasons, the data subject also has the right to object to processing activities on their own data. In connection with the claim, the data subject must identify the specific situation based on which they object to the processing. The registrar may refuse to carry out a request for objection only on the grounds laid down in law.

The data subject also has the right, at any time and free of charge, to object to the processing insofar as it relates to direct marketing.

LEGAL BASIS AND PURPOSE OF PROCESSING PERSONAL DATA

This is a centralized contact information register of the Seamen’s Mission community maintained by the Finnish Seamen’s Mission Registered Association.

The basis for the processing of personal data is the obligation under the Associations Act to maintain a list of members, a contractual relationship or a legitimate interest based on a membership relationship or other appropriate connection.

Personal data is used for the managing of services of members and registered volunteers, managing other customer and stakeholder relationships, fundraising, communications, marketing, analysis, statistics, for organizing events and services, as well as managing customer relationships and developing services.

DATA CONTENT OF THE REGISTER

The register contains the following information:

  • basic information of the data subject such as name, job title, date of birth
  • contact information of the data subject such as address, e-mail address, telephone number
  • data concerning the data subject’s background organisation
  • positions of responsibility
  • accolades such as awarded merit badges
  • magazine and newsletter subscriptions
  • membership information such as membership type, membership fee information
  • communication, feedback and donation data, participation data for operating groups, events and sweepstakes, and other customer relationships
  • information about the volunteer, such as education and work experience information, language skills, wishes in relation to recruitment
  • other information voluntarily provided by the data subject
  • a possible direct marketing ban or other restriction of data processing
  • the names and contact details of the community’s contact persons, as well as information about the community such as business ID and e-mail address

SOURCES OF INFORMATION

We receive information primarily from the data subject themselves, the population register, the authorities and other similar trusted parties.

Personal data may also be collected and updated for the purposes described in this Privacy Statement, within the limits set by applicable law, based on information received from member and subsidiary organisations, publicly available sources and authorities or other third parties.
